Providence Health & Services Clinic Administrative Coordinator in Kodiak, Alaska
Providence is calling a Clinic Administrative Coordinator (Comm Service Program Dept, Day shift, 1.0 FTE) to Providence Kodiak Mental Health Center in Kodiak, Alaska. In this position you will:
Demonstrates significant independent judgment to plan, prioritize, and organize a diversified workload. Organizes and prioritizes large volumes of information and telephone calls in an area with much contact with a wide variety of people and subject to frequent work interruptions.
Ensures that all released information meet Providence standards. Compiles, maintains all charts and filing, main file room and archive room. Assists in compiling statistics for the quarterly report.
Tracks our documentation system for each client to include dictated assessment, entering diagnosis into system and client record, code trip ticket, track all documents to include dictations, progress notes, treatment plans and discharge notes to ensure charts meet regulation standards.
Review all progress notes for Medicaid compliance/billing accuracy, code and turn into billing.
Schedules and organizes complex activities, such as meetings, travel, conferences, and all department activities.
Assists the management team with the coordination and implementation of court ordered and other special programs and activities. Performs all record keeping duties in association with these activities. May initiate and follow up on official correspondence to these activities.
Assists case managers and clinicians in understanding/training of service requirements for documentation.
Prepares lists for discharges. Review psychiatrist discharges and document in client record the reason for not discharging client. Prepare letters/make phone calls to clients that require follow up visits.
Tracks and ensure that adequate time is scheduled for annual psychiatric updates.
Brings to the attention of appropriate staff any scheduling or billing discrepancies found.
Tracks, prepares and submits patient assistance program paperwork and medication.
Reviews patient chart for medication refills, logging of medication.
Assists business office staff, as needed.
Assist Director and Clinical Director as required.
Required qualifications for this position include:
High school graduate or equivalent
4 years of progressively responsible general office work experience (successful completion of coursework or training in office practices and principles may be substituted on a year for year basis for up to 2 years of the required experience)
Customer service experience
Preferred qualifications for this position include:
Office Practices and Principles or equivalent educ/experience.
Experience with personal computers, various software programs and record-keeping
